  • 1.  Process for Facility Setup Maps

    Hello, we are reaching out to see how others have streamlined the submission process for facility rental setup maps.
     
    Our staff routinely setup tables and chairs for facility rentals, provided the renter submits a setup map in advance. Currently, this map is a PDF on our website or a printout in our office, which the renter can draw their setup on and then submit in person or via email.
     
    Does your agency handle this differently? Do you provide renters with examples of typical setups, use a fillable form, or leverage any software/apps for this purpose?

    Good afternoon,

     

    We are a private 55 plus community of 2536 homes with four community centers.  Three of the centers are social halls with an adjacent pool and spa.  Our largest center has multiple buildings and amenities  for resident use.   We developed " standard " setups that we post on our website.

     

    There are 8-10 options per facility.  This covers 90 percent of the events they are used for.   We offer custom set-ups as well but for a larger fee.   We work with the resident on what they want and design a custom drawing for them.  We use Smart Draw software. 

     

    We were spending unproductive time tweaking set-ups  almost daily  - that was the reason for standardizing them.    They still can select from several options.  Hope this helps.

    Hi Karen,

     

    We use a publisher document (attached) that I will email to the renter when they book their space. We ask for it 30 days from their rental date. They can also use any template up to and including drawing it by hand.
